Queenstown Darkroom – Darkroom Experience

1. Overview
These terms apply to all participants of the Queenstown Darkroom Experience, operated by PGP Group Limited trading as Queenstown Darkroom. By booking, you agree to the conditions below. We're a creative, community-spirited space — and these terms help keep things clear, safe, and smooth for everyone.
2. Bookings & Payment
All sessions must be booked in advance via our online booking system.
Payment is required at the time of booking to secure your spot.
Prices are listed in NZD and include GST (if applicable).
We accept payment via credit/debit card using Stripe or Squarespace Payments.
3. Group Size & Private Bookings
Standard sessions run with a maximum of 4 guests.
Minimum group size is 1 — we will run the session even if you’re the only one booked (it’s good practice for us!).

4. Age Policy
Participants must be 13 years or older. No exceptions.
Teens aged 13–17 must be accompanied by a participating adult.
This is a hands-on experience using analogue cameras, darkroom equipment, and chemicals — it’s not suitable for young children.
5. Cancellations & Refunds
Cancellations with more than 72 hours’ notice: Full refund or reschedule.
Cancellations with 24–72 hours’ notice: 50% refund or reschedule (subject to availability).
Less than 24 hours’ notice or no-shows: No refund.
If we need to cancel due to illness, weather, or other factors, we’ll offer a full refund or reschedule.
6. Health & Safety
The darkroom is a converted 20ft shipping container with water, power, and ventilation — but it is a small, enclosed space.
You'll be working with photographic chemicals, under guidance. All necessary PPE and instructions are provided.
If you have respiratory issues, sensory sensitivity, or mobility concerns, please get in touch before booking.
7. Accessibility
Access is via a short gravel drive and small step into the container.
Seating is available. We aim to be welcoming and inclusive, but the space is compact — feel free to contact us to discuss your needs before booking.
8. Photography & Image Use
You’ll leave with your own contact sheet print, made by you!
We may ask for permission to photograph you or your work for social media or promotional use — but only with your consent.
9. Respect & Conduct
This is a shared creative experience. We ask all guests to be respectful of the space, the process, and each other.
We reserve the right to remove any participant whose behaviour disrupts the session or compromises safety.
10. Liability & Disclaimer
Participation is at your own risk.
We take care to provide a safe and supported environment, but Wakatipu Community Darkroom is not liable for injury, loss, or damage resulting from participation, unless caused by proven negligence.
11. Creative Outcomes
We aim to provide a creative, educational, and enjoyable experience — but due to the hands-on and analogue nature of the process, we cannot guarantee specific photographic results. Exposure, composition, film loading, and development outcomes depend in part on participant actions. No refunds will be issued based on dissatisfaction with image results.
12. Copyright & Intellectual Property
Unless otherwise agreed, all content created by or on behalf of Wakatipu Community Darkroom — including workshop materials, teaching methods, handouts, branding, and promotional content — remains the intellectual property of PGP Group Limited. Participants retain full rights to the images they create during their session.
13. Image Use & Social Media Consent
We may take photos during your session for use on our website, social media, or promotional materials. These may include images of you working in the space, interacting with the process, or holding your finished work. You’ll be asked to give permission for this during booking. We’ll never tag or identify you without your explicit consent, and you're welcome to opt out at any time.
14. Gift Vouchers & Redemption Terms
14.1 Gift Voucher Definition
A Gift Voucher is a pre-paid voucher issued by PGP Group Limited, trading as Queenstown Darkroom, redeemable for the services or goods we offer.
14.2 Validity & Expiry
Gift Vouchers must clearly display their expiry date (or state “no expiry”) at the time of issue. For New Zealand customers, vouchers remain valid for a minimum of three (3) years from the date of sale, in accordance with NZ consumer law. Once expired, vouchers are void and cannot be redeemed, unless extended at the sole discretion of Queenstown Darkroom.
14.3 Redemption & Session Availability
Vouchers may only be redeemed when Queenstown Darkroom is open and running scheduled sessions. Our darkroom operates in seasonal or block-based periods, and voucher holders must book during those open blocks. We do not guarantee availability outside our scheduled operating periods. All redemptions are subject to session capacity limits.
14.4 Group vs Single Booking Redemption
If a voucher was purchased for a Family Session or 4-person booking, the recipient may choose to redeem it either as a single group booking (up to 4 guests) or as up to four individual bookings, provided sessions are available, capacity limits permit, and bookings fall within our scheduled operating periods. Any unused value remains on the voucher until expiry.
14.5 Use Against Other Services or Products
Unless otherwise stated at purchase, vouchers can be redeemed against any service or product currently offered by Queenstown Darkroom, including sessions, workshops, or merchandise. Vouchers cannot be exchanged for cash or used to purchase additional gift vouchers. If the chosen service costs more than the voucher value, the customer must pay the difference. If the voucher value exceeds the chosen service, the remaining balance stays attached to the original voucher until expiry.
14.6 Lost, Stolen, or Misplaced Vouchers
Once issued, vouchers are treated like cash. Queenstown Darkroom is not responsible for lost, stolen, or damaged vouchers. However, we may re-issue a voucher at our discretion if the purchaser provides proof of purchase, payment, or voucher code.
14.7 Cancellation & Rescheduling of Voucher Bookings
Bookings made using a voucher follow the same cancellation terms as standard bookings (see Section 5). If a voucher-redeemed booking is cancelled within the permitted timeframe, the voucher’s value is reinstated and can be reused until expiry.
14.8 Expired or Unused Vouchers
If a voucher is not redeemed before its expiry date (or three years after purchase if no expiry is printed), it becomes void. No refund, partial refund, or cash equivalent will be provided after expiry, unless required by New Zealand consumer law or expressly agreed in writing by Queenstown Darkroom.
14.9 Changes to Voucher Terms
Queenstown Darkroom may update or modify these voucher terms at any time. Any changes will not affect vouchers already issued unless explicitly stated at the time of the update.
